Carrier Authority Status: What to Check Before Dispatch

Distinguish an identifier from operating permission, interpret authority history carefully, and resolve conflicting records before a load moves.

Carrier Lookout · Updated

Identity and permission are different checks

A USDOT number identifies an entity in FMCSA systems. Operating authority concerns the registrations needed for a particular operation. Check both identity and applicable current authority rather than inferring permission from the presence of a number.

Read current status first, then the history

Use the current official record to determine status. Historical grants, revocations, and reinstatements can help frame follow-up questions, but do not establish the cause of an event. Ask for evidence rather than assuming every revocation was an insurance lapse.

  • Check that the entity and operation match the proposed movement.
  • Investigate an unresolved revocation or inactive record.
  • Compare source dates before treating a mismatch as a confirmed change.

Keep legacy records in context

Older records may include common or contract terminology. FMCSA's modernization guidance describes changes to registration identifiers; do not treat legacy labels as a substitute for the current registration. Follow official updates instead of assuming a proposed identifier change has taken effect.

Make the decision auditable

  • Keep the official record reference and check time.
  • Record exceptions, follow-up evidence, and the decision owner.
  • Set a recheck process for future loads and unresolved changes.
